Facilities Co-ordinator

Facilities Coordinator – Immediate Temp to perm - Tadworth, Surrey – FM Service Provider - £11.54 per hour 

Exciting opportunity to work for a Facilities Management company in Tadworth, Surrey.

The successful candidate will have a proven track record in Facilities Management working as a Facilities Coordinator.He or she will be the first point of call for ensuring the office facilities are running smoothly and effectively for clients’ operations.

The role also involves supporting the Senior Facilities Coordinator & Contract Manager, undertaking Substitution duties for the Senior Facilities Co-ordinator, ensuring health and safety practices are being always adhered to. 

Hours of work

Monday to Friday - 09:00am to 17:00pm (Full time in the office) - The successful candidate may be required to stay late to help with events.

Key duties & Responsibilities

  • Supporting the management team and ensuring that all site facilities are running smoothly, ensuring high standards across the site at all times.
  • Responsible for opening the site each morning and completing a check of the workspaces ready for the day ahead.
  • Coordinating and managing site cleaning contracts, including external maintenance (electrical charging points, meeting areas).
  • Responsible for ensuring the office meets required standards and liaising with suppliers and visitors where necessary.
  • Ensuring the office is maintained, damages are reported and arrange repair works to be completed.
  • Take ownership and ensure that all shared spaces are maintained, always cleaned and ready for use, including meeting rooms, staff break out areas and reception.
  • Check facilities related stock (e.g hand sanitiser, antibacterial handwash, cleaning products, tea and coffee etc as needed)
  • Have an understanding and appreciation of health and safety regulations, and the ability to apply these practically and effectively.
  • Providing administrative support to the department, as required.
  • Carry out other reasonable duties as required by the Client
  • Manage Switchboard
  • Manage Stationary Cupboards
  • Arrange meeting room bookings and catering requests (internal / external) for KC Client inclusive of meeting layout changes and liaison with Landlord
  • Ensue all KC employee visitor access and non employee access to site
  • Manage site KC distribution list
  • Manage the Walton Oaks KC facilities inbox and respond to all queries
  • Manage the Walton Oaks KC switchboard and transfer calls appropriately
  • Manage all KC hospitality requests with catering on site and external
  • Manage all KC starters and leavers inclusive of collection of their IT equipment
  • Twice Daily floor walks of site
  • Manage post room, letters and parcels inclusive  of Royal Mail and UPS shipments
  • Liaise with KC employees to advise of incoming addressed post
  • Undertake UPS invoicing
  • Undertake provision of all requested employees and contractor passes, inclusive of photos (for permanent access) and arranging site access
  • Raise Reactive tasks with Landlord (Pfizer)Log all tickets with Pfizer reception and facilities team
  • Create KC and erect KC posters
  • Manage KC employee’s items
  • Manage all KC keys, assign / monitor cabinet / locker allocation
  • Undertake substitution duties for Senior Facilities Co-ordinator
