Lead Contract Support

Lead Contract Support - FM Service Provider – London Fenchurch Street – Paying up to £36,000 - £38,000 per annum

Exciting opportunity to work for a Leading FM Service Provider situated in London Fenchurch Street.

The successful candidate will be required to provide efficient, professional business management and improvement support across the contract (Hard Services).

Also the successful candidate will have experience managing a team.

Hours of Work:

Monday to Friday - 8am to 17:00pm - Full time working in the office (No flexibility to work from home) 

Package: 

25 days holiday plus Birthdays  

Key duties & Responsibilities

  • Daily requests via the CAFM system/Help desk
  • Liaise with Contract Manager/ Service Delivery & Mobilisation Manager for allocation of works to contractors
  • Liaise with allocated client from beginning to end, updating works, assisting with client queries, and issuing quotations on client specific web portals and our own CAFM software
  • Liaise with engineer to access full scope of work necessary and produce reports/quotations
  • Source and Order parts/materials from suppliers where necessary
  • Raise Purchase Orders for Contractors/Suppliers via CAFM system and sign off contractor invoices for payment
  • Monitor contractor performance against SLA's
  • Assistant Contract Manager with administration, filing, copying, printing, scanning, collating and laminating of documents
  • Check schedule weekly to ensure efficient use of resources and matching skill sets to works, this will involve liaising with technical managers
  • Collate all instances of planned and reactive works that are not able to be completed and escalate to the Service Delivery & Mobilisation Manager
  • Ensure data for monthly reports are issued to CM
  • Update WIP reports weekly for WIP meeting
  • Upkeep of shared drive site documentation
  • Financial Month end pack submission with Contract Manager
  • Maintain efficient and effective administration tasks, commercial duties, reporting requirements and any account related planning or support activities
  • Work in partnership with the Finance Business Partner to ensure sharing of best practice and consistent financial reporting, adherence to accounting and the company policies and any other financial support required.
  • Undertake workshops with Contract Managers to enhance understanding and sharing of
  • Attention to detail to deliver monthly, quarterly and adhoc reporting.
  • Part of the strategic planning team for the account to create and deliver process documents as part of the centre of excellence.
  • Liaise with subject matter experts to ensure process documents are in place across the contracts.
  • Deliver communication plans for contracts
  • Conduct contract audits to ensure compliance is being maintained.
  • Production and collation of Contract Compliance information
  • Support Contract Managers with Internal and customer reporting
  • Support the annual increases with the Contract managers to all the costing models to ensure compliance
  • Submission of Client applications and billing where required
  • Raise all monthly variations, credits and update the suppliers reconciliation trackers
  • Support with project regarding costings and commercial agreements
  • Support the bid teams when required with tenders and contract increase reviews
Requirements
  • Knowledge of M&E Building Services
  • Good working knowledge of administrative duties including month end billing procedures
  • Experience of financial reporting,
  • Excellent PC skills to include Outlook, Word and Excel
  • Report creation and delivery
  • Development and implementation of process and procedure
  • Creation, development and management of shared storage space
  • Excellent people management skills.
  • Ability to manage senior and operative levels.
  • Business Intelligence reporting experience (Highly desirable)
